Hough PTSA Board

The Hough PTSA board is charged, on behalf of all Hough PTSA members, with the fiduciary duty and  day-to-day operations and governance of Hough PTSA.

It's Board Nomination Time!

Hough PTSA is a 100% volunteer-run organization. 

Every year, around this time, the Hough PTSA works with the staff and the larger school community to build its vision for the coming school year and plan our calendar of programs and events but without our wonderful volunteers, the PTSA can't exist, and all those events and programs lose their support and funding.

Have you considered getting involved but don't know how? Are you worried you don't have the time? We get it, but we have worked hard to make our PTSA positions fun and sustainable. There are lots of options for getting involved and every Board position is a co-position so we can spread the workload. 

​

Please check out the position descriptions below and fill out the interest form to get in touch with the nominating committee. Please know that filling out the interest form is NOT a formal commitment to a position nor does it ensure a nomination. The Nominating Committee will get in touch to discuss your interest, answer any questions you have, and formalize your decision to put yourself in for nomination. The general membership will vote on nominees at the General Meeting on June 5th.

About the Board

Hough PTSA is a 100% volunteer-run organization. 

What is Hough PTSA?

Hough Elementary PTSA (Parent, Teacher, Student Association) is a registered 501(c)(3) non-profit business governed by the bylaws of the Washington State PTA and the standing rules of the Hough PTSA unit. PTSA is a member-driven association. The fundamental role of the Board is to govern, though much of the day-to-day work of a PTSA is done by its Board. Boards are entrusted with the PTSA’s work by the members. Although some responsibility can be delegated to officers or committees, ultimately it is the board of directors that is responsible for the PTSA. As stewards, the board has specific legal responsibilities, such as paying taxes and annual corporation renewals.

What is the Board?

The PTSA Executive Board is a group of elected and appointed volunteers responsible for leading the PTSA's efforts to support the school, students, and staff. The Board provides strategic direction, manages programs and events, and ensures financial accountability. The Board also serves as a liaison between parents and the school administration.

 

How is Hough PTSA connected to the State/National PTA?

The Hough PTSA Board operates under the guidance of its bylaws and in alignment with state and national PTA guidelines. The Hough Elementary PTSA is part of Washington State PTA (WSPTA), which provides support, training, and advocacy resources to local PTAs.

Why do we need a Board?

Boards are required by law to ensure a PTA carries out its mission. They hold a position of trust and have “fiduciary” responsibilities to all their members. They are given power to run the association by the membership via bylaws and elections and the board of directors is ultimately responsible for the viability, credibility, and effectiveness of their PTA.​

When does the board meet?

The board meets once a month. Board meeting dates are: Sept. 4, Oct. 9, Nov. 13, Dec. 15, Jan. 15, Feb. 19., Mar. 19, Apr. 16, May 14, and June 11.

Hough PTSA Board Member Positions

Board Commitment
Currently, the Board holds one 1-hour meeting per month, however, frequency of meetings is decided by the Board. WA State PTA requires all board members attend a minimum of one training a year. Trainings are available in-person and online. A PTSA board position is an important commitment. Time commitment required depends on the calendar of events, number of volunteers recruited to run programs, and the scope of programs the PTSA sets for the year. 

 

Term of Office
The term of office for elected positions is one year (July 1- June 30). No member may serve more than two consecutive terms in the same office (position). Officers who have served eight months in a position will be considered to have served a full term. (WSPTA Uniform Bylaws, Article 5, Section 6).

Additional Roles and Postions

Committee Coordinators are responsible for taking the lead in programs run by the PTSA. They are supervisory positions, supported by a team of committee volunteers (for events) and by the Board. Coordinator position support includes training, budget, and resources. Coordinators should maintain frequent communication with the Board and their committee members.

  • Nominations Committee
    The charge of the nominating committee is to recognize and recruit qualified people for elected PTSA positions as defined by our standing rules. The members of the nominating committee have a tremendous influence on the future of tHough PTSA, making it one of the most important committees in the PTSA. Members of the nominating committee must be elected by the members of the Hough PTSA. Committee work includes holding confidential meetings, reviewing nominations, interviewing candidates, and searching for candidates. The nominating committee is not charged with filling the non-elected positions on the PTSA board of directors.   • Fundraiser Coordinator/Committee Lead
    Plan and manage fundraising campaigns and events throughout the school year. Seek out and schedule restaurant give back events 3-4 times during the school year. For pledge-based fundraisers coordinate the distribution of fundraising packets, track packet returns, log orders and money, fill orders, distribute prizes, and generate a final report. Work with communications coordinator to create and distribute flyers and social media posts for fundraising events.Works with the treasurer to track and validate fundraising budget line items. Provide fundraising status updates for meetings and communications.

    TIME COMMITMENT: Average 5 hours per month

  • Donations Coordinator/Committee Lead
    Seek out and acquire donations to support PTSA events and fundraising needs. This will include items such as in-kind donations (goods and services) for silent auction baskets, monetary donations, as well as items for the Winter Wonderland student bazaar.

    TIME COMMITMENT: Average 5 hours per month, may be more in months leading up to events.

  • Book Fair Coordinator/Committee Lead
    Work with Scholastic representatives to schedule fall and spring book fairs. Take the lead on event planning and work with Communications Coordinator to market fairs via flyers, social media, etc. Recruit and oversee volunteers to help set up, cashier, and break down book fairs. Manage register tills and complete book fair financial statements. 

    TIME COMMITMENT: 10-20 hours per fair (October and April)

  • Spirit Wear Coordinator/Committee Lead
    Work with spirit wear vendors to order and design spirit wear as needed. Market spirit wear, sell at appropriate events, coordinate/manage online ordering as needed, and distribute items. 

    TIME COMMITMENT: 4-6 hours per sales period (Fall & Spring) and 1-2 hours per event sales table

  • Yearbook Editor/Committee Lead
    Work with Dorian (yearbook vendor) to produce the annual yearbook using page layout software. Determine overall yearbook design and content. Take or collect photographs of students, school events, and extracurriculars. Distribute and collect yearbook order forms, and sell extra yearbook copies. 

    TIME COMMITMENT: 15-20 hours (yearbook due end of March) 

  • Communications Coordinator/Committee Lead
    Coordinate outreach for PTSA messaging and events. Manage the “look and feel” of the PTSA brand. Design Facebook posts, act as editor of the weekly PTSA newsletter for Friday folder/backpack flyers, print and distribute newsletter, and design and distribute program/event posters and flyers. Maintain and update website.  

    TIME COMMITMENT: 6-8 hours per month 

  • Volunteer Coordinator/Committee Lead
    Recrute and supervise volunteers, delegate responsibilities and supervise individual event volunteers, create sign ups for volunteers and help ensure events and activities are adequately staffed.

    TIME COMMITMENT: 2-4 hours per month

  • Winter Wonderland Student Bazaar Coordinator/Committee Lead
    Work closely with the President(s), VP(s), Donations Coordinator, Communications Coordinator, and Volunteer Coordinator to oversee the student bazaar portion of Winter Wonderland. Take the lead on event planning and donations acquisition activities, recrute and supervise volunteers, and manage event budget to ensure successful execution of the shopping bazaar. Delegate responsibilities and supervise individual event volunteers. 

    TIME COMMITMENT: 20 - 30 hours in November and December

  • Winter Wonderland Showcase Coordinator/Committee Lead
    Work closely with the President(s), and VP(s), Donations Coordinator, Communications Coordinator, and Volunteer Coordinator to oversee the showcase portion of Winter Wonderland. Take the lead on event planning activities, recruiting and supervising volunteers, and managing event budget to ensure successful execution of events including student performances, silent auction, crafts, food, and entertainment. Delegate responsibilities and supervise individual event volunteers.

    TIME COMMITMENT: 15 - 20 hours in November and December

  • End-of-School-Year Fun Day Coordinator/Committee Lead
    Work closely with the President(s), VP(s), Communications Coordinator, and Volunteer Coordinator to oversee the carnival. Take the lead on event planning activities, recruiting and supervising volunteers, and managing event budget to ensure successful execution of the carnival including games, prizes, music, food, etc. Delegate responsibilities and supervise individual event volunteers.

    TIME COMMITMENT: 2-4 hours in March/April for inventory of supplies and planning, 5-10 hours in May & June for event execution
